Clients and Pets CRM

Teddy's client management goes far beyond basics because groomers need deeper details daily

Most grooming software will store a client's name and phone number and call it a day. Teddy's client management goes much further than that, because the information a groomer actually needs goes much further than that. You need to know that Zulu does not like her ears touched. You need to know that Alex's wife is the one picking up today, or that this dog needs to be shaved all the way down and not just trimmed. That kind of detail lives in the grooming notes field, timestamped and visible to every member of your team.

Every client has a full profile that shows their complete history with your business: how many appointments they have finished, how many they have cancelled, how many times they did not show up, what they have spent with you in total, and what they still owe. An unpaid balance shows up in red so nobody has to do mental math or go looking for it. If a client owes $324 from a previous visit, you see it the moment you open their profile.

The pet side of the CRM is built around what groomers actually care about. Each pet has its own profile with breed, coat type, weight, birthday, vet information, and any relevant health or behavior notes. If a client has three dogs and you are doing two of them today, there is no confusion about which services go with which pet. Everything is separated cleanly.

Client tags help you segment quickly without any effort. Tags like '4 Week Client' or '1 Upcoming' are generated automatically based on booking patterns. When you are looking at your client list and want to know who your most loyal regulars are, or who has not booked in a while, those tags do the sorting for you.

One of the most underrated aspects of this CRM is what happens when you hire a new groomer or when a long-term groomer leaves. Normally, a lot of that institutional knowledge walks out the door with them. The cut this dog always gets, the note that this owner is always five minutes late, the flag that this pet gets anxious with blow dryers. In Teddy, all of that is saved permanently and visible to whoever opens the profile next.

Grooming re-dos cost time and materials and often damage client relationships. When a groomer does not have the right note about a cut, they default to their best guess, and sometimes that guess is wrong. With timestamped grooming notes visible in the profile, the chance of a re-do drops significantly. Even preventing two re-dos a month at an average of 30 to 45 minutes each saves meaningful time and protects the client relationship.

For identifying your most valuable clients, the lifetime revenue column on the client list does the work for you. You can sort by total paid and immediately see who your top clients are. Those are the people worth going the extra mile for, and Teddy shows you exactly who they are without any spreadsheets or guesswork.

The birthday automation tied to pet profiles is a simple example of retention marketing that most small grooming businesses simply do not have bandwidth to do manually. When a pet birthday triggers an automatic message from your business, it creates a personal touch that most competitors are not delivering. Those moments build loyalty and bring clients back more consistently.

How do I add notes about a specific pet or client?

You can add notes directly from the client profile. They are timestamped automatically and visible to all staff. You can add as many as you want, and they stay on the profile permanently.

Can I see a client's full booking history?

Yes. The Bookings tab on each client profile shows every appointment by date, pet, service, staff member, cost, and status. You can also see how the appointment was booked, for example whether it came through the online portal.

What happens if a client has multiple pets?

Each pet gets its own profile under the client. When you open the client's profile, you see all their pets listed. Appointments are tied to specific pets so there is no confusion about which dog is coming in.

Can I see which clients have outstanding balances?

Yes. Unpaid balances appear in red on the client profile so you can see them immediately. The client list also shows total paid for each client, making it easy to spot who owes money.

Is there a limit to how many clients I can store?

No practical limit. One account shown in the platform already has 99 clients with full histories, pet profiles, and notes, all accessible instantly.
